    Shultz is looking for an experienced Senior Office Manager for the Phillips 66 – Rodeo, CA facilicy.


    This position is responsible for the payroll and project billing processes in accordance with the established accounting standards and billing policy.


    Shultz a subsidiary of Aegion Corporation, is a full-service engineering, procurement, construction, maintenance and turnaround company serving the western United States. Concentrating primarily on energy projects in the private sector, Shultz serves a broad range of industries, including upstream oil and gas production, gas processing, oil refining, terminals and pipelines, chemicals, renewable energy, and industrial manufacturing.


    • Enter 3rd party and sub-contractor costs into TRACK (equipment, material invoices)
    • Issue purchase orders, process AP Invoices and order office supplies
    • Research any unbilled issues to optimize the billing possibilities for the billing period
    • Maintain the billing folders for all projects, with all the appropriate documents, including expenses, and monthly invoices, in accordance with standard procedures
    • Effectively communicate with the Site Manager, Field Finance Manager and Project Control Manager regarding contract documents, change orders and other contract modifications, approvals, and any additional services-related to billing and/or payroll
    • Work with the cash receipts to reconcile variances that occur in the application of cash
    • Process invoices in CMiC upon receipt of payment from client
    • Make transfers of employee billable hours in company system as necessary
    • Perform cost reporting for client


    • Refinery experience preferred (5+ years)
    • Intermediate to advanced computer literacy in Microsoft Excel and accounting software
    • Billing experience preferred
    • Timekeeping experience preferred
    • Ability to work well with others under deadline situations and respond to changes in priorities
    • Strong written and verbal communication skills with excellent organizational skills
    • Ability to work independently, take initiative, set priorities and see projects through to completion
